Palterna Ltd is an Art and Luxury Goods consultancy. We source and locate luxury goods and art through the owners of global brands and leading galleries according to our client’s specifications and instructions. Your Privacy is one of our highest priorities. We believe that your privacy means more than just the security of your information; it means the total protection of your lifestyle and peace of mind. We have established this privacy statement in order to demonstrate our commitment to our clients’ privacy.

This notice describes:

·       how we process personal data of specific people who get in contact or communicate with Palterna Ltd in an official capacity

·       when that happens and why

·       the rights these individuals have according to the General Data Protection Regulation (GDPR)

When we process personal data

We only process personal data for the purpose for which it was collected.

We communicate with people working for other organisations and individuals. In some cases we collect, hold and use their personal information. This happens when;

·       we respond to queries about our services and art & luxury goods

·       we process transactions for goods and services

·       We will communicate with you in response to your inquiries, to provide the services you request, and to manage your account. We will communicate with you by email or telephone, in accordance with your wishes based on the information you provide us when you make a service request or contact us via email or phone.

·       If you request a quote or service from us, we request certain personally identifiable information from you. You must provide contact information such as name, email and phone number. The information you provide is stored by us on our IT systems. We use this information for quoting purposes and to contact you to communicate the quotes to you via phone or via email so as to process and service your request.

We do not:

·      Supply your personal data to any third parties without your permission.

·      We do not use cookies or data marketing tools.

·      We do not use automated technologies to track use of our website.

·      We do not engage in data profiling or monitoring.

·      We do not engage in data analytics of our relationships with clients.

The personal data we process

We may process the following personal data:

·       name

·       address

·       email address

·       job title

·       phone number

·       financial data if you use our services for purchasing luxury goods.

The legal basis for processing your personal data

We need to process personal data to either;

·      under performance of a contract between the parties whereby you have instructed Palterna Ltd on your behalf.

·      under a legitimate interest whereby we are required to provide you information to questions you have asked of us and to ensure our records are accurate. Also, so we can communicate on recommendations and suggestions about our goods and services.

Who we share your data with

We do not share any of your personal data with any suppliers unless you have given us an instruction to do so, or under contract.

As your personal data will be stored on our IT systems, it will also be shared with our data processors who provide email, document management and storage services.

Your data is processed on secure systems with limited access to those within Palterna who manage your account.

How long we keep your personal data for

We will only keep your personal data:

·       for as long as necessary for the purpose it was obtained.

·       Under contract for a maximum of 6 years.

We review our records annually to ensure our data is up to date and any contact personal data is deleted where necessary.

Your rights

You have the right to request:

·       information about how your personal data is processed

·       a copy of your personal data

·       that we correct any inaccuracies in your personal data are rectified without delay

·       that any incomplete personal data is updated - you can include the missing information in your request

·       that your personal data is erased if there is no longer a justification for the data to be processed

·       in certain circumstances (for example, where accuracy is contested), that the processing of your personal data is restricted
